Labels for an office move

Boxes reach the right desk fastest when every label answers the same questions in the same place.

  • One color per department or floor. Put a strip of the same color tape on the door of the room it's going to.
  • A number on every box. "Accounting 3 of 6" tells the team when a box is missing. Add a number across the whole move for your master list.
  • Where it's going. Under More, add the floor and room ("Floor 3, Room 301") and it prints on every box for that department.
  • What needs care. Mark IT gear Electronics and locked files Confidential.

Moving people rather than departments? Add a row for each person ("Priya, desk 14"). Each person's boxes get their own color and their own count.

Labels for business storage and records

  • Number every box. Choose Storage and records and each box gets its own number, #1 onward. Keep one list of what each number holds.
  • Say where it's kept. Add the unit and shelf under More ("Storage unit 14, Shelf B"), so the next person can find it without you.
  • Mark what's private. Tax records, payroll and client files get Confidential, and the heavy boxes get Heavy.

Labels for organizing a supply room or stockroom

  • A name and a color for every shelf or bin. Choose Organizing and start from printer paper, cleaning supplies, cables and more.
  • A matching pair. Tick Two labels per box to print one for the bin and one for the shelf edge, so things go back where they came from.
  • Numbers that tell bins apart. "Printer paper 1" and "Printer paper 2" end the hunt for the full one.

Printing tips

  • Print at 100% (or "Actual size"), with "Fit to page" turned off.
  • Print a test page on plain paper first and hold it behind a label sheet against a window.
  • Keep shiny packing tape off the QR code. The glare can stop a phone from reading it.

All our free label makers

  • Moving box labels. For a home move: color-coded by room, numbered "Kitchen 3 of 8".
  • Storage box labels. Numbered to match one list of what’s inside, for a storage unit, attic or garage.
  • Business labels (this page). For an office move, business storage or organizing a supply room, with your company name on every label.

Questions

What can I label with these?
Boxes for an office move, boxes going into storage, and the shelves and bins in a supply room or stockroom. Pick one under "What are you labeling?" and the label maker suggests the rows and numbering that fit.
Can I put our company name on the labels?
Yes. Type it under "Company name on every label" and it prints at the bottom of each label, next to a small Stow Haven mark.
Can I label shelves and bins, not just boxes?
Yes. Choose "Organizing". Each shelf or bin gets its name, a color and a number, and "Two labels per box" prints a matching pair: one for the bin, one for the shelf.
How should we color-code an office move?
Give each department or floor its own color, and put a strip of the same color tape on the door of its new room. Every label prints the color's name too, so black-and-white copies still work.
Can we number boxes by department and across the whole move?
Yes. Choose "Both" under Box numbers. Each label shows "Accounting 3 of 6" in big type with the move-wide number, like #27, underneath.
Can we print on a label printer?
Yes. Pick 4″ × 6″ for a Rollo, Zebra or other shipping-label printer, or find DYMO and Brother labels under "More sizes".
We need more boxes halfway through. Can the numbers carry on?
Yes. After you print, choose "Start the next batch". Each department picks up from its next number.
Do the QR codes show what's in our boxes?
No. A phone's camera opens a short page that explains the label and nothing else. In the Stow Haven app, you link each label to one of your boxes.
